MEADOWBROOK PREPARATORY SCHOOL
PARENT TEACHERS ASSOCIATION MEETING

Minutes of meeting held on Tuesday May 20, 2014

The meeting was called to order at 7:59 a.m. by the Acting President Mrs. Sadekie Lyttle Forbes.
Apologies for Absence: Apologies were received for Ms. Desrene Beverly (Assistant secretary), Ms. D. Williams (Treasurer) and Ms. McDonald (Assistant Treasurer)

At the start of the meeting a quorum was not present so the items on the agenda were discussed.
Executive Update
In February Ms. Ramocan resigned as President.  She is no longer a parent at this institution. Mrs. Lyttle Forbes has been acting in that position.

New Business
The Principal, Ms. Francis updated the meeting on the following:
An art exhibition is on in the dance room today.
School calendars are available at the office.
The May Fair will be on the 31st starting at 10:00 am.  Parents are being asked to donate a chicken.
Mid-term closes on May 21st.
No Labour Day activity was planned for this year.  Teachers and students will be planting plants along the fence on Meadowbrook Avenue.
The school had seven entries in the Jamaica Cultural Development Commission (JCDC) competition. They won 3 gold, 3 silver and 1 bronze. One of the gold pieces won an international award.  In the speech competition they won one gold and 6 silvers. Commendation to our students.
Mrs. Reid, the Director, gave the following update:
The Footballers & Cricketers have been performing very well.  Some male parents have been giving tremendous support and it is greatly appreciated.

Football
The footballers participated in the Samsung National Competition.  They won the match against Portmore Missionary and drew the match with Ardenne Prep.  The young team got good experience and were featured in the Gleaner twice.

Cricket
The cricketers played four matches three of which they won.  They lost in the quarter finals however.

Pre-school
The Director stressed the point that no money from school fees or the budget will be used to construct the Pre-school. A Philanthropist will be providing the resources ( interest free) and will wait on the school to honor its obligations.  

A survey was done in and beyond the community and it shows that the Pre-school was needed.  The original building will be used. A kitchenette, washrooms for students and staff and an office will be added. The KSAC has the plan.  A steering committee made up of both teachers and parents has been formed.  Mrs. Fullerton is the parent’s representative on that committee.

The garbage collection area will be relocated to the back of the school.
A parent expressed pessimism in the pre-school being filled whilst there is presently a challenge in filling the classrooms for 4-5 year olds.  Other parents commented that dissatisfied parents were moving their children hence the small classes.  It was felt that if the concerns of the parents are captured and met, the numbers could possibly increase.

The Principal pointed out to the parents that parents should report their dissatisfaction to herself or the Director so that they can be addressed.

Mrs. Lyttle-Forbes agreed to capturing the concerns of the parents (may be through the grade representatives) and take them to the board meeting.

The contact numbers for the parent reps should be circulated to the parents.
At this point in the meeting, there was a quorum, so election of officers was held.  

The following persons were elected:
Vice President: Karla Francis
Public Relations officer: Mrs. Gwyneth Davidson offered to assist the person who will be elected as the PRO.

There being no other business, the meeting was adjourned at 9:15 am. On a motion moved by Mr. Imran Forbes and seconded by Dr. Salmon.
